Event Planning: Selecting Your Venue

Picking a venue for your event can be a big part of your overall event planning process. Make selecting a venue easy by learning what to look for when beginning to search. Start with a vision and purpose for your event, then incorporate these tips to create the perfect venue space.

Location

Location is important to keep in mind when choosing a venue. The region where the venue is located can affect how accessible it is for guests. Without a guest, there is no event. Ensure that all guests can travel safely and have efficient access to enjoy all aspects of the venue space. Look into entrance ramps and parking spaces at your venue location.  Speaking of space, one of the first things you should know when picking a venue is how many guests will be there. This will establish the size venue that’s needed and can impact the comfortability of the venue.

Select a place

Once you have addressed the event size, you can decide where you want your event to take place. Finding a venue that has all your event needs in one place and can be designed to carry your theme is crucial. Although the fastest way to select a venue is picking one that is already built, it can be hard to get everything you want out of one venue space. The room could be large but there is only one bathroom, or there is a dancefloor but not much room to dance. If you find yourself having a difficult time checking all the boxes of your venue requirements, don’t settle. Building your venue can be more personalized and just as fun. For more information about personalizing your event space, read our blogs on Tent Rentals for Every Event and What is Your Event Décor Style?

Build your own space

Starting from scratch allows the event planner to build out the event the way they imagined, and not what the venue confines them to. A great way to build a custom venue is by renting a party tent. Grimes Events & Party Tents offers a variety of sizes and styles of outdoor party tents. Another great aspect of a party tent is it can be put anywhere opening the doors for endless locations. It can be on a beach, a farm, a park, or even your backyard. No matter where the event is, its one-of-a-kind setup will leave a lasting impression.

When you build out an event you can use one tent or multiple to build the structure of your choice. Add on rooms inside the tent or just off the tent to accommodate a lounge in addition to your event space. This is a great way to incorporate an upscale lounging area for your guests to relax. Maximize your space by organizing it the way it works best for your event. Incorporate rentals like a stage for entertainment, a floor for dancing, rentals for catering, and even luxury portable restrooms. Grimes Events & Party Tents has countless event rentals that will transform your space into a one-of-a-kind venue.

Transforming your venue

Décor, theme, style, and functionality are all essential parts of having a memorable venue. Think about what kind of event this is and what kind of response you would like to evoke from your guest. Figuring out what you want out of your event will help you determine the essence of the celebration.  The theme or subject of the event will be the inspiration for the setup and décor inside. Tableware, statement pieces, lighting, music, colors, seating, refreshments, and any other personalization will make up the theme of the event. Think about the atmosphere you are trying to create with the décor. Will it be warm, cool, airy, intimate, fun, or sophisticated? The list goes on and creativity takes over. Take stock of your decorative goals for the venue and start trying things out.  Its highly recommended to take furniture, décor, and color swatches to the venue to get an idea of what the final product could look like.

If you are finding it hard to spark creativity, get inspiration from other events. Research common themes or trending décor to get a feel of beautiful materials you can include in your décor. A great source of inspiration is from event planning businesses like Grimes Events & Party Tents. Check out our social media and website to view our gallery of successful event setups. Hosting A Winter Event

Summer is over but the festivities have just begun. Winter is a beautiful time of year filled with celebrations and gatherings. With many national holidays taking place during the winter, it’s only right that events continue this time of year. If you are hosting a winter event this year, here are a few tips and tricks that are sure to keep guests comfortable wherever you are.

Weather Conditions

Here in Florida, winter doesn’t mean heavy snow and ice but does take some adjusting for locals. Sunny days drop from the high eighties and nighties to the mid-seventies while the nights become crisper and cooler at temperatures of fifty to sixty degrees. In other regions of the country, snowfall and hazardous weather conditions are more prominent so precautions must be taken. Although Winter looks different around the country, wherever you are it’s important to have a backup plan for your event. Having a “plan B” is essential to all events but especially winter events where the host is heavily relying on aspects of the plan. To be prepared, set aside backups for all heating, tent, and other rental equipment.

Durable Equipment

Regardless of how winter looks where you are, having durable equipment like Frame TentsHigh Peak TentsHeaters, and insulated Stage & Flooring are key in maintaining and enjoying a winter event.  Grimes Events and Party Tents offer weather-resistant tents that are steaked into the ground. With a solid shelter installed, guests won’t have to worry about the weather outside, inside the tent. If you are hosting a winter event, it’s recommended to use a frame tent, that can then be closed on all sides if needed. Now that the four walls are up, a host must factor in heat during the chili months of winter. Space heaters are great for indoor or outdoor winter events. The number of heaters needed is based on the space of the event. When placing heaters, it’s wise to place them where guests will be seated or will remain through the event. Another great way to support a warm and cozy winter event is the addition of flooring. Using flooring will help insulate heat inside your tent while also giving guests a smooth walkway or dancing platform.

Food and Drink

While the setup is crucial in hosting a great winter event another aspect that can take your event from comfortable to cozy is the selection of refreshments. This is a great opportunity to further establish your winter theme. Warm and filling foods are best for a winter event. Cups of chili, soups, and hearty pasta are great examples of warm comfort foods to serve at your winter event. For drinks, think warm and delicious. Hot chocolate, hot cider, tea, and coffee are all special winter drinks that tie in perfectly with the winter esthetic, while also keeping guests warm from the inside out.

Winter Trends

The best part about A winter event is the décor! Winter has a theme of its own, snow, ice, glitter, evergreen, and a variation of magical lighting. Not only is winter beautiful as is, there are also a few of the nation’s biggest holidays that happen during the winter months. Christmas and New years are great times to create an immaculate winter celebration. Winter trends allow hosts and planners to do something different with their décor. Some trends that we’re seeing this winter season are warm and cool lighting. If you are going for a cozy winter feel, Edison Bulbs provides a warm esthetic that cascades throughout the whole venue. For an icier winter look, Globe Lamps are perfect for creating the essence of a Winter wonderland. These gorgeous lamps backed by snow and pine reach a mix of winter and warmth. For an icier winter look, icy blue LED UP Lights coated over an all-white winter event, looks like jack frost decorated it himself!

Winter comes and goes but the memory of an epic winter event will stay with guests for a lifetime. Don’t let cooler weather stop you from hosting a beautiful event. Embrace the chill! With a combination of durable equipment, proper refreshments, and glamorous décor, guests are sure to find themselves in a winter wonderland they won’t want to leave! If you are planning a winter event, Grimes Events and Party Tents provides event rentals and expertise to help you create a winter escape. Catering Rentals for Events Large and Small

Cooking for a large group of people just got easier! Grimes Events & Party Tents has everything you need when it comes to catering rentals.

Cook the Food

Convection Oven – Our portable convection ovens work similarly to the oven found in most homes. They use a fan and exhaust system that circulates hot air to ensure the dishes on every rack cook evenly. Our convection ovens come in large or small and both options are equipped with wheels for ease of use.

Propane Grill – It’s time to fire up the grill! Whether you’re grilling up some hamburgers and hotdogs or grilling some vegetables, our propane grill can handle anything you need.

Gas Deep Fryer – The options are endless when it comes to our deep fryers! From French fries to fried chicken, churros to fried dough, rent a dent a deep dryer to give your guests both sweet and savory snacks!

Popcorn Machine – Add a bit of fun to your party by renting a popcorn machine! Its carnival-themed look provides a pop (pun intended) of color to your décor while delivering a tasty treat that all your guests will enjoy!

Keep It Warm

Warming Cabinet – You’ve cooked the food, now it’s time to keep it warm. If you’re hosting a sit-down dinner, all the food must be ready to serve at the same time. Warming cabinets keep prepared food safe and warm until it’s time to be served.

Steam Table – Perhaps you’re planning to serve food to your guests buffet-style. Our steam tables come with three pans to hold food. The food is kept warm using steam that comes from boiling water directly beneath the pans.

Chafing Dish – Similar to a steam table, chafing dishes keep food warm for roughly 2 to 6 hours using the steam from boiling water. Individual chafing dishes are more portable than a steam table and allow for a more customized buffet layout. Chafing dishes can also be used to keep food chilled by filling the bottom tray with cold water and ice.

Heat Lamp – Sometimes the simplest of products offer the best solution! If you anticipate only needing to keep dishes warm for a short time, consider renting heat lamps.

Grimes Events & Party Tents has everything you need to throw the perfect party – tents, tables, chairs, tableware, and so much more! Contact us today at 561-853-8368 to get started!

What Your Event Planner Wants You to Know

Event planning is not for the faint of heart. Hiring an event planner can help bring the event you’re dreaming of to life while simultaneously relieving much of the stress that comes with the planning process. If you’re working with an event planner, make sure to get the most out of the experience by keeping these things in mind!

They’re On Your Side – Trust Them

Event planners do this for a living! Having experienced all the ups and downs of numerous events, they know what will result in a major success or a total failure. Your event planner should be listening to your desires but remember to take their advice if they say something won’t end well and work with them to come up with a creative solution!

Be Honest

It’s important to speak openly and honestly with your event planner. They are there to help create a perfect vision for your event! The only way to do this is to share your wants, goals, and opinions with them. If they suggest an idea you’re not crazy about, just tell them! It’s better to be honest in the beginning than to end up with an event that doesn’t turn out how you dreamt it would.

Let Them Do the Work

One of the most beneficial parts of hiring an event planner is getting the chance to relax and enjoy your event! While it may be tempting to have an active hand in the planning process, remember, you hired them for a reason. Especially with large-scale events, there are simply too many details for any one person to tend to. By hiring an event planner, you must be prepared to relinquish part of the control.

Are you planning an event? Contact Grimes Events & Party Tents for all your party rental needs! There are many advantages to renting equipment including a wide variety of options, cost efficiency, and less stress on you!

How to Decorate Rental Chairs

While providing chairs for guests at an event may seem like a mundane task, there are plenty of opportunities to have fun with it! Decorating chairs is a great, cost-effective way to add to your event décor. Depending on what your event décor style is, there are several ways you can decorate your chairs!

Play With Fabrics

One of the most popular ways to decorate chairs is by using fabric. There is a wide variety of fabrics that you can use including satin, lace, chiffon, or burlap. Chiavari chairs are the best option if you plan on using fabric to decorate. The fabric can be draped over the top of the chair and collected behind it using a decorative tie. It could also be interlaced through the back of the chair in an intricate pattern. Another idea is to wrap the fabric around the back of the chair and tie it in a big bow.

Wrap It in Ribbons

Ribbons are a highly underrated décor piece. They can be used for any number of things, including decorations for your chairs! Ribbons come in a myriad of colors and textures to match whatever the aesthetic of the event is. Try tying several ribbons to the top bar of the chair and allowing them to hang down the back, creating a sort of curtain. Or tie a single ribbon into a bow on one of the top corners of the chair for a simple yet elegant look.

Fabulous Florals

As always, florals are a great way to decorate any event. They are highly versatile and allow you to incorporate natural elements into your décor. When it comes to decorating chairs, one idea is to hang small bouquets or floral wreaths off the back of the chairs. For chairs that won’t be moving during the event, try hanging small vases filled with flowers from one of the top corners of our white padded chairs. For example, if you have rustic event décor, hang a mason jar using twine and fill it with wildflowers.

Make It Personal

One of the big trends for events in 2021 is personalized elements. The more personal an event is made to be, the more likely your guests are to remember it! Consider having personalized signs made to hang on the back of the chairs. At the end of the event, let your guests take them home as a party favor!

No matter what your event is or what aesthetic you are going for, Grimes Events & Party Tents can help bring your vision to life! Contact us today at 561-853-8368 to get started!

Summer Party Rentals

The summer months offer beautiful weather that makes any outdoor event a huge hit. Make sure your summer party is set up for success by renting the right equipment!

Tents

There’s one thing we know for sure about Florida – it brings the heat! Between the intense sunshine and afternoon rain showers, every outdoor summer party should be prepared with a tent rental! Alone, tents offer shade and keep your guests dry in case of rain. However, when paired with tent accessories, such as side curtains, tents can transform an outdoor space into the perfect place to spend a summer day in Florida. At Grimes Events & Party Tents, we have a wide variety of tents including frame tents, pole tents, high peak tents, structural tents, and pop-up tents!

Lounge Furniture

Summer is all about kicking back and relaxing! Lounge furniture is the perfect way to ensure your guests have somewhere comfortable to sit, chat, and sip on their drinks. At Grimes Events & Party Tents, we have two types of lounge furniture available for rental. Our tufted lounge furniture allows you to mix and match corner pieces, center pieces, and ottomans to create the perfect layout. The Sobe lounge chair and sofa are great alternatives that offer a more modern look.

Air Conditioning

Making sure your guests are comfortable should be one of your top priorities when planning an event. Beat the heat this summer by renting cooling products along with your tent! Ceiling fans can be attached to the roof of your tent to save space and keep your event looking classy while also ensuring airflow throughout the space. We also offer Cool-A-Zone units for rental! These air conditioning units can lower the ambient temperature by 10 – 25 degrees. They are energy-efficient, easy to use, and do not require any special installation.

Restroom Trailers

Many summer events happen outdoors. Therefore, it’s important to consider the practical necessities like restrooms! If your event is being held outdoors, consider renting a luxury restroom trailer. Grimes Events & Party Tents is pleased to offer four variations of restroom trailers.

3 Stall Restroom Trailer: Private spaces, two women’s and one men’s, equipped with LED lighting, Bluetooth speakers, and individual sinks.

5 Stall Luxury Restroom Trailer: Two separate spaces, one with three women’s stalls, the other with two men’s stalls and two urinals.

9 Stall Restroom Trailer: Two separate spaces, one with five women’s stalls, the other with two men’s stalls and two urinals.

ADA Single Stall Restroom Trailer: Individual space accessible via ADA compliant ramp.

Each restroom trailer comes equipped with air conditioning and heating as needed, hot and cold running water, a self-leveling jack, and vinyl skirting.

There are plenty of advantages to renting your summer party equipment including cost efficiency and a variety of environmentally friendly options! Contact us today to see how we help make your summer event a success!

Take It to the Next Level with Stage & Dance Floor Rentals

Stages can be used for more than just music and dance floors can be used for more than just dancing. There are plenty of reasons why you should consider renting a stage or dance floor for your next event! They are versatile additions to any type of event, providing both fashion and functionality.

Stage Rentals

One of the main benefits of renting a stage is that it will help bring your guests’ attention to the focal point of the event. If you are hosting a live entertainment event, placing the entertainment on top of an elevated stage will help differentiate them from the crowd. If you are hosting an awards ceremony, honorees can be easily viewed as they receive their awards. At a fashion show, models can easily maneuver the crowd by strolling along a catwalk, giving everyone the best view of their outfits.

Did you know that we also offer pool cover stage rentals? These stages, either solid or transparent, can be secured over inground pools, giving your event’s décor the “wow” factor while simultaneously optimizing the event space.

Dance Floor Rentals

The dance floors we provide at Grimes Events & Party Tents are high-quality Modular Grid-Loc tiles. These special tiles are easy to install and uninstall, are scuff-resistant, easy to clean, and highly durable. Our Modular Grid-Loc tiles are often used in commercial settings such as yoga studios, trade shows, dance floors at special events, and so much more! We offer different styles including black and white tiles, white marble tiles, smoked oak tiles, and wood tiles. No matter what type of event you are hosting, we have the perfect floor to fit your needs!

At Grimes Events & Party Tents, we know better than anyone the advantages of party rentals. No matter how big or small your rental needs may be, we are here to help! Contact us today at 561-853-8368 to get started.

Wedding Trends 2021

The wedding industry has seen many changes over the past year. As we venture into the wedding season in 2021, make note of which trends have stayed and which appear to be over.

Sequel Weddings

After hosting a pandemic wedding with a restricted guest list, many couples are choosing to host another party for those who were unable to attend the first time around. Many couples are choosing to renew their vows during these ceremonies. Others saved their first dance and toasts for the sequel wedding to make the occasion special!

Weekday Weddings

After many 2020 weddings were postponed due to the pandemic, we are now seeing more weddings than usual scheduled to take place in 2021. This results in hard-to-find bookings and availability. Therefore, weekday weddings are becoming more and more popular as not only an alternative for availability but also to save money, as many venues offer discounted prices during the week.

Backyard Weddings

Hosting a wedding in a backyard was a trend that truly burst out of the gate during 2020. However, this trend is far from over. Again, due to the limited availability of venues because of the many weddings being planned for this coming year, many couples are opting to have their weddings in their backyards. This alternative venue allows for flexibility and personalization that no other venue can offer!

Tents & Twinkly Lights

A tent is a perfect complement to any backyard or outdoor wedding. With so many options to choose from, creating a magical atmosphere for the special day is easy. Tent choices include frame tents, pole tents, and high-peak tents. To top it off, creating an ambiance is easy by hanging up string lights in any number of ways.

Formal Dining

To encourage health and safety, many weddings are limiting the amount of serve-yourself, buffet-style food that they serve and instead opting for restaurant-style, formal dining options. Another added measure many couples are taking when planning their big day is assigned seating. Doing this helps to limit the amount of contact people have with those who live outside their households.

Alternative Entertainment

With the pandemic still being a concern this year, wedding entertainment has taken a big turn. Instead of hiring bands or DJs and having people congregate on the dance floor, couples are choosing to hire alternative entertainment for their guests that make it easy to maintain social distancing. These entertainers can include comedians, illusionists, acrobats, sketch artists, roaming musicians, and more.

If you are planning your wedding for 2021, reach out to the team at Grimes Events & Party Tents! We have everything you need to help make your special day a success!

Holiday Color Palettes 2020

Colors can have a powerful effect on a person’s emotions. They can resonate with particular emotions and become associated with memories. Especially around the holidays, certain color schemes have become standard to help people feel festive. However, some new color palettes have also entered the picture this year.

Varying Shades of Blue

The Pantone color for 2020 is classic blue. That being said, we are seeing more blue holiday décor than ever before! Deep navy, classic blue, sky blue, and white make a perfect combination. The cool tones help to bring on the chill of winter, encouraging people to cozy up and get warm. This color palette is not only great for the holidays but can last throughout the entire winter season!

Deep Purples With A Touch of Gold

Magenta purple made it onto this year’s Pantone Fall/Winter 2020/21 list!  This color has been popular throughout autumn but is also adding a pop of color to holiday decorations this December! Other colors to mix with magenta purple could include eggplant, gold, and cream. This color palette exudes elegance and class. Not to mention, it is yet again a color scheme that could last all winter long!

The Classics

Red and green have and continue to be the most classic holiday color palette. Combining colors such as sage, evergreen, crimson, and wine are guaranteed to get people into the holiday spirit. Throwing in a touch of gold or silver can give your palette an extra sparkle!

Keep it traditional with a classic color palette this holiday season or try something new by going blue! At Grimes Events & Party Tents, we have all your holiday rental needs including linens, tableware, chairs, tables, and more! Contact us today for more information on how we can help your holiday event be colorful and festive!

At Grimes, we have everything you need to have an unforgettable table set up for the fall holidays. To start, we offer a number of tables that can accommodate how many people will be at your party or event, no matter what.

Once you’ve got the table or tables you’ll need for your event, now you’ve got to discover how you’ll have these tables set.

Our 13″ Gold Charger is a perfect place to start your Thanksgiving table set thanks to its festive color. Additionally, our 13″ Brown Rattan Charger is also a great choice for Thanksgiving.  You can also find a number of linens like napkins and table clothes to further deck out your Fall party or event at Grimes Events & Party Tents.

Looking to get patriotic this Veteran’s Day? Our 13″ Red, 13″ Silver, and our 13″ Royal Blue Chargers, are great for that Red, White, And Blue aesthetic.  Of course, we offer a wide selection of saucers and other dishes to go with these chargers. Other tabletop party rentals include glassware and flatware.

Tent & Lighting Rentals

If you’re hosting your Fall event or party outdoors, it might be a good idea to get a tent. Is your party at day or night? Regardless, a tent is a great idea to keep attendees comfortable outside. For daytime Veteran’s Day barbecues, a tent may be necessary to combat the year-round hot Florida sun. For day time events, we recommend opting for one of our air conditioners or large fans to keep those inside the tent cool and comfortable.

And, for nighttime Thanksgiving feasts, tents paired with one of our many lighting options can give the dinner a totally unqiue atmosphere. For Thanksgiving dinner, we recommend our Edison Bulb Cafe/Bistro Lighting to give your event a cozy feel.

Catering Solutions

Like we mentioned at the beginning of this blog post, many of the fall holidays are all about food. Luckily for party hosts in Broward and Palm Beach counties, we have a number of catering rentals. These can be used used to cook or keep the food warm and fresh. Thanksgiving, of course, is focused primarily on the big dinner in the middle of the day.  Our chafing dishes and selection of convection ovens are perfect for keeping sides and entrees warm this Thanksgiving. For the Veteran’s Day festivities, our Propane Grill and Steam table are perfect for cooking burgers, dogs, steaks and more, as well as steaming fresh veggies as sides. At Grimes Events & Party Tents, we’ve got everything you need to ensure your Thanksgiving and Veteran’s Day feasts are as fresh and tasty as possible. Our fall party rentals are one-of-a-kind.
