Which Tent Is Right for Your Event?

Types of Tents

Frame Tents come in a variety of sizes, making them our most versatile and therefore most popular tent rental option. These tents can be installed on decks, close to buildings, and any relatively level surface. Our frame tents are available with either a white or clear top. This type of tent is best used for events that have seating plans or a lot of guest movement is anticipated.

Pole Tents are excellent for weddings, festivals, company events, and more. These elegant tents, sometimes referred to as circus tents, have central support pole(s) down the center to create a clean, swooping look for the canopy. Pole tents offer a traditional look that is both cost-efficient and flexible.

High Peak Tents have a similar look as the pole tents but are better for smaller events. Built with a solid aluminum frame and covered with PVC-coated fabric, these tents are both beautiful and functional. They are available in either 10 x 10 ft or 15 x 15 ft and can either be used singly or placed side by side to create an aesthetically pleasing village grouping.

Structural Tents are heavy-duty frame tents, generally used for large events or long-term installations such as additional restaurant seating, construction projects, or repeat events. One benefit to these tents is the high ceilings that offer some extra height and space.

Things to Consider

Location, location, location. Tents can be installed using different methods. Therefore, where you plan on placing the tent is a large contributing factor when choosing which tent is right for you. Will the tent be placed on grass, concrete, asphalt, sand, or a deck? Is the ground relatively level? Will it need to be close to other structures, such as a building? The tent space will need to be free of obstacles, including fences, swing sets, underground power lines, sprinkler systems, etc. Make sure to take all these factors into account when choosing your tent!

The size of your tent depends on how many guests you are planning to have at your event. We suggest following the general guidelines of:

Cathedral seating – minimum 8 sq ft per guest, plus aisles

Standing event – minimum 10 sq ft per guest

Seated dining – depends on the table size and layout

The number of guests is just one of the many things to consider when choosing the size of your tent rental. Other considerations should include whether you will be having a buffet, bar, dancefloor, sign-in table, DJ table, etc.

Complete your tent by renting any number of tent accessories, some being practical and others being fashionable. Depending on the type of event and the venue, you may want to consider renting flooring, side curtains, doors, or cooling products. Top it all off by renting décor for your tent such as pipe and drape or lighting!

At Grimes Events & Party Tents, we have two types of lounge furniture available for rental. Our tufted lounge furniture allows you to mix and match corner pieces, center pieces, and ottomans to create the perfect layout. The Sobe lounge chair and sofa are great alternatives that offer a more modern look.

Air Conditioning

Making sure your guests are comfortable should be one of your top priorities when planning an event. Beat the heat this summer by renting cooling products along with your tent! Ceiling fans can be attached to the roof of your tent to save space and keep your event looking classy while also ensuring airflow throughout the space. We also offer Cool-A-Zone units for rental! These air conditioning units can lower the ambient temperature by 10 – 25 degrees. They are energy-efficient, easy to use, and do not require any special installation.

Restroom Trailers

Many summer events happen outdoors. Therefore, it’s important to consider the practical necessities like restrooms! If your event is being held outdoors, consider renting a luxury restroom trailer. Grimes Events & Party Tents is pleased to offer four variations of restroom trailers.

3 Stall Restroom Trailer: Private spaces, two women’s and one men’s, equipped with LED lighting, Bluetooth speakers, and individual sinks.

5 Stall Luxury Restroom Trailer: Two separate spaces, one with three women’s stalls, the other with two men’s stalls and two urinals.

9 Stall Restroom Trailer: Two separate spaces, one with five women’s stalls, the other with two men’s stalls and two urinals.

ADA Single Stall Restroom Trailer: Individual space accessible via ADA compliant ramp.

Each restroom trailer comes equipped with air conditioning and heating as needed, hot and cold running water, a self-leveling jack, and vinyl skirting.

Drive-By Driveway Events

Many large events have been postponed or canceled because of COVID, but creativity has allowed us to continue celebrating special occasions! We have taken to providing our clients with opportunities to host socially distant events from the comfort of their driveway.

A Special Birthday

Recently, we helped one of our special clients celebrate their 10th birthday with a driveway event. Guests could drive by, wishing our client a happy birthday, or stop in for a socially distanced party. We transformed their driveway into a multi-colored, tie-dye extravaganza fitted with a tent, tables, goodie bags, and cupcakes! By partnering with GoFar Balloons and Bella Fiori Flower Walls, we were able to create a beautiful experience for all the attendees. Drive-by or stop in events such as these are great for celebrating anniversaries, graduation parties, birthday parties, and more while taking into consideration social distancing, health, and safety.

Florida Governor Ron DeSantis announced on May 4th that many restaurants in the state could reopen with full outdoor seating captivity, while indoor seating is capped at 25% percent. While restaurants embraced the good news, they might not have enough outdoor seating to fit the need and demands of hungry customers. 5 Common Questions About Event Rental Installations

When considering tents for weddings and events, it’s important to know what to expect with the installation process, specifically timeline and pricing. We know that the foundation for a successful event lies in the preparation and planning, so we want to help simplify the installation process by answering the 5 most common questions that we receive.

Do you set up and break down the rental products?

Our delivery/ pick-up teams will set up and break down several of our rental products at no additional charge, including tents, bars, cooking equipment, dance floors, staging, and lighting. We can perform chair setup and breakdown, as well as table setup and breakdown services at an additional cost. Those services can be added at any point in the process before delivery.

What is your standard rental period?

The price of our rental equipment includes a 72-hour rental period. Should you need to keep our products longer than 72 hours, additional charges will apply.

Do you deliver?

Yes, we do offer delivery. When you request a delivery, you will be given either a morning (8 am-12 pm) or an afternoon (1 pm-6 pm) delivery window. Delivery rates will vary depending on delivery specifics and location.

What do I need to do to get ready for you to install the tent rental?

When installing a tent, the first step our crews take is to spread it flat on the ground in the area where it will be. Please have this area completely clear of obstructions before we arrive at the job site.

How will my tent be secured?

Grass – when setting up your tent, we typically drive a 42” stake into the grass in 2 places at each corner and 1 at each additional leg. The stakes will be approximately 4 feet away from the tent, with a white strap running from the top of the tent to the stake itself.

Asphalt – We will have to drill 1.5” diameter holes at each place that we need a stake. We can then drive our stakes in the ground, just the same as if we were setting up on grass. When we come back to pick up the tent, we will patch all holes with either asphalt patches or a plug.

Concrete – We will drill ½” diameter holes to secure your tent with concrete anchors. Our straps will run from the top of the tent down to the concrete anchors. When we pick up the tent, we will patch all holes with concrete patches, however we cannot guarantee an exact color match.

Other – If your tent is going on any surface that we are not allowed to drill through or drive stakes, we secure your tent with either cement weights or 55-gallon water barrels. To ensure that we have the proper equipment on-site, please contact us prior to booking your event. There will be an additional fee to secure any tent that we cannot stake.
